Maps & Records Specialist
Position Overview
We are seeking a highly organized and detail-oriented Maps & Records Specialist to support document modernization and technical records management within a utility-focused environment. This role will primarily focus on restructuring and improving documentation systems while also supporting map, schematic, and technical drawing interpretation for field operations.
The ideal candidate is extremely proficient in Microsoft Office (Excel, Word) and Adobe Acrobat, has experience working with maps or schematics, and preferably has a background in the natural gas or utility industry.
Key Responsibilities
Document & Form Management
- Update, edit, and restructure documents in Microsoft Excel, Word, and Adobe Acrobat (PDF) to improve clarity, usability, and efficiency.
- Streamline and modernize forms by reorganizing layout, simplifying workflow, reducing duplication, and enhancing navigation.
- Standardize formatting, naming conventions, headers, footers, and version control processes.
- Build and refine templates, checklists, and operational forms for both field and office use.
- Review existing documentation to identify inefficiencies and implement improvements to structure and workflow.
- Convert outdated documents into digital, fillable, or automated formats (e.g., PDF forms, editable tables, automated Excel sheets).
- Maintain organized document archives and ensure records remain accurate, consistent, and up to date.
Technical Review & Interpretation
- Read, understand, and work with maps, schematics, and technical drawings, particularly within the natural gas or utility industry.
- Interpret geographic and system data to support field supervisors and operations teams.
- Assist in organizing system maps, updating references, and ensuring accuracy of technical materials.
Collaboration & Support
- Work closely with supervisors, field staff, and operations teams to assess documentation needs.
- Maintain clear communication and assist in preparing materials for audits, regulatory reviews, and internal reporting.
Qualifications
- Strong proficiency in Microsoft Excel, Word, and Adobe Acrobat (PDF editing required).
- Excellent organizational skills and strong attention to detail.
- Ability to simplify, restructure, and improve complex documentation.
- Experience reading maps, schematics, blueprints, or utility system drawings.
- Strong communication skills and ability to work independently.
Strongly Preferred:
- Prior experience in the natural gas industry or other utility sectors (electric, water, etc.).
Preferred Skills
- Familiarity with GIS tools or mapping software.
- Understanding of utility operations, construction workflows, or field documentation.
- Experience creating or maintaining Standard Operating Procedures (SOPs).
- Experience with Power BI and creating dashboards.
Ideal Candidate Profile
- Highly capable in Microsoft Office (Excel, Word, Adobe).
- Comfortable working with maps and technical drawings.
- Background in gas engineering, utilities, or a related field preferred.
- Strong spatial awareness and process-improvement mindset.
- Able to work independently while supporting operational teams.
